Student Visa for Malaysia
Chat with us on WhatsAppThe student visa is the step most students and parents worry about, although it is an orderly, clear process when the documents are prepared correctly from the start. In Malaysia the student does not apply alone: the university or institute submits the application to the EMGS system after admission, and the MAIGA team follows it with you until you arrive and receive your passport with the residence sticker. This guide explains the whole path without promising timings or fees we do not control: what you need, in which order, and what usually delays applications.

What the Student Pass is and who needs it
Every international student joining a long study programme in Malaysia, at a university or a language institute, needs a student visa known as the Student Pass: a residence permit for study, stuck into the passport after arrival, not a tourist visa. International student applications are managed by Education Malaysia Global Services (EMGS) together with the Malaysian Immigration Department.
The student does not apply alone; the university or institute submits the application to EMGS once the offer letter is issued, and the MAIGA team follows the file with the institution step by step. Some short English courses are taken on a visit visa instead of a Student Pass; each course page on our website says whether it needs a visa.
Visa steps from admission to arrival
The first step is the offer letter from the university or institute. The visa documents are then sent to the institution, which submits them to EMGS, and the visa processing fee set by the institution is paid. On approval, the Visa Approval Letter (VAL) is issued.
With the VAL the student obtains, depending on nationality, a Single Entry Visa from the Malaysian embassy or online, and then travels to Malaysia. The application status can be tracked at any time on the EMGS website with the application or passport number, and your MAIGA consultant sends you every update.
Documents required
The core documents EMGS usually requires: a passport with enough validity to cover the first study period (EMGS sets the minimum), passport photos with a white background in the required size, the offer letter, previous academic certificates with transcripts, and the pre-departure medical form when requested.
The university may ask for extra documents such as certified translations, an English test certificate or a financial guarantee letter. MAIGA checks every document before it is sent, because the most common causes of delay are a photo with the wrong specifications, a missing passport page or an unattested certificate.
Timing and fees
Processing time changes with the institution, application volume and the season, so we always advise starting at least one and a half to two months before the study start date, and earlier in the main intake seasons. The real time shows in the EMGS tracker; we do not promise a fixed period because the decision rests with the Malaysian authorities.
Visa, medical screening, health insurance and the refundable Personal Bond fees are set by EMGS and the institution, and differ between universities and nationalities. The visa fee for your programme is written on its page on the MAIGA website under the fee details.
After arrival: medical check and residence sticker
In the first days after arrival the university arranges the medical screening at an EMGS-approved clinic, then the passport is handed to the institution for the Student Pass sticker that sets the residence period, and the international student card (i-Kad) is issued as identification inside Malaysia.
It is best not to travel outside Malaysia before the passport comes back with the sticker, and to arrive on the date set by the university so the visa approval does not expire. The MAIGA team in Kuala Lumpur meets you at the airport and accompanies you to the medical appointment on request.
Renewal, delays and common mistakes
The Student Pass is usually granted for one year and renewed yearly through the university well before it expires, provided you remain enrolled with the required attendance. Late renewal or low attendance can lead to a fine or a refused renewal, so the university and your consultant remind you ahead of time.
The mistakes we see most: a passport close to expiry, photos that do not match EMGS specifications, a name that differs between passport and certificate, and late payment of the visa fee after admission. Avoiding them saves weeks. If an application is refused for a correctable reason, it is resubmitted after the cause is fixed.
